Privacy Policy
Stoic OS is operated by StoicOS LLC, a Pennsylvania limited liability company ("Stoic OS," "we," "us"). This policy covers what we do with your information when you enquire about, buy and use a personal nutrition software build.
This policy forms part of the Terms of Sale and Use.
01Our role
For the personal build, we decide what information we collect and why. In legal terms we are the controller of your information, not a processor acting for someone else.
02What we collect
- Contact details you give us when you book a call or buy: name, email, phone.
- Intake information: your goal, training, schedule, body measurements, dietary restrictions, allergies, dislikes, medical circumstances you choose to share, and the foods you actually eat. Some of this is health-related. See Section 03.
- What you do in your plan: swaps, portion changes, notes, and whether you kept to a suggestion. The adjuster needs this to stay accurate.
- Purchase and billing records: what you bought, when, the amount, and the last four digits and type of the payment method. Full card numbers are handled by our payment processor and never reach us.
- Technical data: IP address, browser, device and pages viewed, to run and secure the service.
- Cookies and similar tools. See Section 12.
03Health-related information
Your intake and your plan include information about your body and how you eat. Several states, including Washington and Nevada, treat this as consumer health data with its own rules.
- We collect it because you ask us to build you a plan, and only for that purpose. We ask for your consent at intake, separately from anything else, and we tell you what we are collecting it for.
- We do not sell it. Not for money, not for anything else of value.
- We do not use it for advertising or attribution, and we do not pass it to advertising platforms, data brokers or analytics vendors.
- We do not use it to train artificial intelligence models, ours or anyone else's.
- You can withdraw consent and have it deleted at any time under Section 08. Deleting it also ends your plan link, because the plan is built from it.
If you are in a state with specific consumer health data rules and want to know exactly what we hold, email us and we will tell you.
04What we use information for
- Building your plan and keeping the adjuster's suggestions accurate
- Answering you, scheduling calls and providing support
- Taking payment and keeping the records we are legally required to keep
- Securing the service and preventing fraud and abuse
- Sending you service messages about your build, and marketing about our own products, with an unsubscribe link in every marketing message
We do not sell your information, and we do not share it for cross-context behavioural advertising.
05Advertising and analytics on our public pages
Our public marketing pages use analytics, advertising and attribution cookies to measure which pages produce enquiries.
These tools do not run inside your plan or the builder, and no intake information, plan content or health-related information is transmitted to them. Purchase and conversion measurement is limited to the fact that a purchase occurred and its value. You can control cookies through your browser settings and through the consent controls on our site.
06Who else sees it
Only the service providers we need to run the service: hosting, database, email, scheduling and payment processing. They handle your data under written instructions and confidentiality obligations, and they are not permitted to use it for their own purposes. We keep a current list of these providers and will send it to you on request.
We will also disclose information where the law genuinely requires it, and we will tell you first where we are legally permitted to.
If we are ever involved in a merger, acquisition or sale of assets, your information may transfer with the business, subject to this policy. We will notify you before your information becomes subject to a different privacy policy.
Your plan link is private and unlisted. Anyone you send it to can open it, so treat it the way you would any private link.
Mobile numbers and text message consent are carved out of all of the above. They are never shared with third parties or affiliates for marketing or promotional purposes. See Section 17.
07How long we keep it
We keep your intake information, plan and food database for as long as your build is in use, so that the adjuster keeps working.
We keep billing and transaction records for seven years for tax and accounting purposes, and we will keep them even if you ask us to delete everything else, because we are required to.
Ask us to delete your data and we will, apart from those records. Deleting your data also ends your plan link. Deleted data may persist in encrypted backups for a limited period before being overwritten in the normal backup cycle.
08Your rights
You can ask us to:
- Give you a copy of the information we hold about you
- Correct anything that is wrong
- Delete your information
- Send it to you, or to someone else, in a portable format
- Stop sending you marketing
- Withdraw a consent you previously gave
Email nutrition@thestoicos.com and we will action it. We may need to verify your identity first. We will respond within 45 days, and we will tell you if we need to extend that once because the request is complex.
If we decline a request, we will tell you why, and you can appeal by replying to us and asking for the decision to be reviewed. We will respond to an appeal within 45 days. If you are still unhappy, you may contact your state attorney general.
We will not treat you differently for exercising any of these rights.
09Export, and what happens if we discontinue
Section 08 of the Terms of Sale and Use commits us to keeping your plan and link available for at least five years from handover.
If we ever stop running the system, we will give you at least 90 days' written notice and a way to export your plan and your food data in a usable format before it ends. You can also request an export at any time under Section 08 above, without waiting for anything.
10Your name, your results and your words
We will not use your name, image, results, testimonial or anything you have said publicly without your prior written consent. If you do give consent, you can withdraw it for future use at any time by emailing us, and we will stop using it going forward.
11Feedback
If you send us suggestions about the product, we may use them freely to improve it, as set out in Section 11 of the Terms of Sale and Use. Feedback is not confidential and is not treated as your personal information beyond the contact details attached to it.
We may also use aggregated and de-identified information to improve the service. Aggregated information does not identify you and we will not publish it in a form that could.
12Cookies
- Essential cookies keep the site working and remember your light or dark theme.
- Analytics cookies tell us how the public site is used.
- Advertising and attribution cookies on public marketing pages only, as described in Section 05.
You can control all of these through your browser settings and our consent controls.
13Security
We use administrative, technical and organisational safeguards designed to protect your information, including encryption in transit and at rest, access controls, and least-privilege access for our own people. Backups are taken regularly.
No method of transmission or storage is perfectly secure. If there is a security incident affecting your information, we will notify you without undue delay and as required by law.
14Children
The personal build is sold to adults. You must be at least 18 to buy or to use it, and we do not knowingly collect information from anyone under 18. If you believe we have, email us and we will delete it.
15Where we process information
We process and store information in the United States. If you contact us or use the service from outside the United States, you are sending your information to the United States, which may have different data protection laws than your country.
16Changes to this policy
We may update this policy. Material changes will be reflected in the effective date above, and we will email you at least 14 days before a change that materially affects how we handle your information takes effect.
The version that applies to your purchase is the one published on the day you bought.
17Text messages and mobile information
If you give us your mobile number and agree to it, we send you text messages about your build and your onboarding — confirming your call, chasing an outstanding intake item, telling you your plan is ready. They are sent one to one by the person handling your onboarding. They are not marketing, and we do not add your number to a marketing list.
- We only text a number you gave us for that purpose, through the opt-in on our text message updates page, on your intake, or by asking us directly. We do not buy or rent phone numbers.
- No mobile information will be shared with third parties or affiliates for marketing or promotional purposes. All of the categories described in this policy exclude text messaging originator opt-in data and consent; that information is not shared with any third party.
- We do not sell your mobile number and we do not share it for cross-context behavioural advertising.
- The only parties who handle it are the messaging providers who carry the message for us, under written instructions, and solely to deliver it.
- Reply STOP to any message to end them, at once and permanently, or email us. Reply HELP for our contact details. Stopping texts does not affect your build or anything you have bought.
- We keep a record of your consent and of any opt-out for as long as we are required to, because we have to be able to show that you asked for these messages.
Message frequency varies. Message and data rates may apply. The full programme terms are in Section 20 of our Terms, and you can turn messages on or off on the text message updates page.
